Executive Assistant / HR Coordinator

Reporting to: CEO

Primary Responsibilities:

  • Calendar management and handling of daily incoming correspondence.
  • Schedule and coordinate meetings and travel arrangements.
  • Assist in meeting preparation, including take and prepare minutes of meeting and compiling information.
  • Preparing draft reports and creation of PowerPoint presentations.
  • Maintain and process company payroll through ADP Pay at Work and reconcile payroll accounts for accountant to post to General Ledger.
  • Maintain employees' health benefits, process vacation/sick day and other absenteeism documentation and maintains the confidential corporate HR files.
  • Main point of contact for all office service providers/vendors and replenishing and tracking all office stock.
  • Liaised with CRA, ADP, health benefit brokers and others to resolve payroll and office related issues.
  • Advise Management on Human Resources policies and procedures and provide insight on employment standards and regulations.
  • Participates in special projects and performs other duties as required.

Requirements:

  • Fluency in English and French (written and oral).
  • Post secondary education or equivalent.
  • 2+ years experience supporting at the executive level.
  • A working knowledge of basic HR & Payroll Administration.
  • Excellent calendar management skills, including the coordination of complex executive meetings and travel coordination.
  • Experience assisting management with the creation of PowerPoint presentations.
  • Excellent knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
  • Excellent organizational skills, communication skills, ability to work independently and as part of a team.
  • Capable of handling a high volume, high stress, multi tasking environment and excellent attention to details.
